JEN Electric has made the decision to GO PAPERLESS (well, as much as possible in a business world).  Of course going paperless is a good way to go “green”.  But also, by eliminating and reducing copier “needs” (toner and maintenance), storage space & file cabinets, and of course the paper itself, this is a good way to help reduce costs during a time that the economy demands hanging onto every penny earned. 

 As the first step of this new paperless venture, all of the Project Managers, Estimators and others have upgraded to Adobe Acrobat 9.0 Pro.  This will allow us to convert all project documents into a PDF format, assemble “portfolios” of a combination of document types, and simple file combining.  We will also be able to sign and submit proposals right from our computers without the need of printing first, publish invoices and send to others internally for approval, and of course having the ability of storage on the server for quick retrieving. 

The next steps will require help from our vendors.  It is our hope that we can begin uploading all bid documents and drawings into a dedicated area on our server which we will grant the select vendors access to.  Therefore they will be able to view all information electronically and at their convenience in lieu of making numerous copies and then only at the estimators’ convenience.  In addition we will be asking for their help to reduce our faxes by submitting all of their quotes via email. 

It may not seem like much on the surface but we are confident that once all of these systems are in place we will realize a substantial cost savings AND help save a few trees.
